Notifications and My Work
Mentions, assignees and due dates, watching items, review notices, the bell, email notices and the My Work page.
On this page
Holarch tells you when something needs you. Mention a member in a comment, assign an item with a due date, or watch an item, and the people concerned get a notice under the bell at the top right. My Work collects what is yours across your projects: items assigned to you, requirements awaiting your review, mentions and recent changes to items you watch. Email notices come once a day by default.
Concepts
- Notice: a line under the bell, such as "Ann mentioned you on SR-1 Shall pump". It links to the item. Unread notices are highlighted and counted on the bell.
- Mention:
@followed by a member's name in a comment. The member gets a notice. Only members of the project can be mentioned, and only they get notices. - Assignee and due date: two properties every item has in its Attributes: who is responsible and by when. They are Holarch properties, not LMLLifecycle Modeling Language An open modeling language with a small set of classes and relationships that covers a system's whole lifecycle. Holarch models are LML models. attributes, so they work on any class.
- Watching: following an item. Watchers get notices when the item changes, gets a comment or gets a suspect link. You watch items you create, comment on, are assigned or are mentioned on; click ✓ Watching to stop.
- Review notice: when a requirement goes to In Review, the project's reviewers and the item's watchers get a notice, and it stays on their My Work until the requirement is approved or rejected.
- Email notices: a daily digest of unread notices (the default), immediate email for mentions and assignments, or none.
How to use it
When and why
Use mentions and assignees during requirements reviews, design reviews and test planning, when one person needs another to act: answer a question, rework a requirement, run a test. Due dates keep reviews and actions on schedule before milestones such as SRRSystem Requirements Review A milestone review that confirms the system requirements are complete and agreed before design starts. or PDRPreliminary Design Review A milestone review that confirms the preliminary design meets the requirements and is ready for detailed design.. Watching keeps owners of critical items, such as key performance requirements or interfaces, informed of every change.
Mention someone in a comment
- Select an item and open the Comments tab in the inspector.
- Type your comment. Type
@and the first letters of a name: a list of the project's members opens. - Pick the person with a click, or with ↓ and Enter.
- Click Add Comment.
The name shows as a chip in the comment, and the person gets a notice: "Eve mentioned you on SR-1 Shall pump".
Assign an item and set a due date
- Select the item and open its Attributes.
- Choose the Assignee from the project's members.
- Set the Due date.
The assignee gets a notice, and the item appears under Assigned to me on their My Work, sorted by due date. A date in the past shows Overdue.
To change the assignee, choose another member; the item moves to their My Work. Choose — Not assigned — to clear it.
Watch an item
- Select the item and open its Attributes.
- Click Watch.
The button shows ✓ Watching. Changes, new comments and suspect links on the item now reach you as notices. Several changes by one person within 15 minutes become one notice with a count.
Click ✓ Watching to stop. Holarch does not watch the item again for you, even if you comment on it later.
Work through your notices
- Click the bell at the top right.
- Click a notice to open its item; it is marked read.
- Click Mark All Read to clear the count, or Open My Work for the full picture.
Use My Work
Open Plan & Deliver → My Work, or press ⌘K / Ctrl+K and choose My Work.
| Section | Shows |
|---|---|
| Assigned to me | Items assigned to you, with due dates; overdue first |
| Awaiting my review | Requirements In Review where you are a reviewer of the project or watch the item |
| Mentions | Comments that mention you, from the last 30 days |
| Watched items | Recent changes, comments and suspect links on items you watch, from the last 14 days |
Opened from inside a project, My Work shows that project only. The Email notices card at the bottom holds your email setting.
Worked example: a review on the CubeSat EO-1 demo
- Ann, the systems lead, assigns SR-12 Downlink data rate to Eve with a due date of the SRR date.
- Eve reworks the requirement and sets its Status to In Review. Rita, who is shared on the project as Reviewer, gets "SR-12 Downlink data rate awaits your review".
- Rita comments "@Eve the margin needs a TBRTo Be Reviewed A requirement value that is filled in but still needs to be confirmed." on the requirement. Eve gets a mention notice and adds the TBR.
- Rita approves the requirement. It leaves her Awaiting my review list; Ann, who watches SR-12, sees the change under the bell.
Tips and good practice
- Mention people instead of writing their names: only a mention notifies them.
- Give review actions a due date, so they show as overdue before the milestone.
- Watch the few items you own, not everything: the bell stays useful.
- Share people who only review as Reviewer; they get review notices and can comment and approve without editing.
Common mistakes
- The person did not get a notice: they are not a member of the project, or you typed the name without picking it from the list. Share the project with them, then mention them again.
- A watched item stays quiet: you clicked ✓ Watching earlier and stopped watching. Click Watch again.
- No email arrives: the Email notices setting is Off, or the digest has not gone out yet; it goes out once a day.
How it connects to other features
- Comments carry mentions; see Collaboration.
- Approvals drive review notices; see Requirements.
- Sharing roles decide who gets notices; only members do.
The bell
The bell sits in the top bar, next to Share. A red count shows unread notices. The panel lists the newest notices grouped by project, each with its kind (Mention, Comment, Change, Assigned, Review, Suspect link), the text and when it happened. The count refreshes every minute, when you return to the page and right after new notices arrive.
Email notices
On the Account page under Notifications, or on My Work under Email notices:
| Setting | |
|---|---|
| Daily digest (recommended) | Once a day, after 13:00 UTC: your unread notices that were not emailed yet, by project, with links |
| Immediately for mentions and assignments, digest for the rest | Mentions and assignments within a minute or two (at most 20 emails an hour); everything else in the digest |
| Off (notices stay under the bell) | None |
Every email ends with Turn off all email notices. The link opens a page that asks you to confirm with Turn Off Email Notices; opening the link alone changes nothing, so mail scanners that open links cannot turn your email off. No sign-in is needed. Mail apps that offer their own Unsubscribe button (Gmail, Outlook, Apple Mail) turn email notices off in one step. Notices you have already read are not emailed.
Note: Notices are kept for 90 days.
Limits
- Only members of a project get its notices; someone who leaves a project no longer sees its notices.
- Writers never get notices about their own changes.
- A comment can mention up to 20 people.
