Working with Others
Sharing and Roles
Who can open a project and what each person may do in it. Every project has at least one owner.
Where to find it
- Share in the top bar of an open project, ⌘K → Share Project…, or Share Project… in the project switcher.
Main actions
- Owner: everything an editor does, plus inviting people, changing roles, removing members, transferring ownership, deleting the project and restoring it from the Trash.
- Editor: edits all content, restores earlier versions and exports. Editors do not manage sharing.
- Viewer: reads and exports. The page shows a View only banner; fields read as plain text, edit controls, comments and the AI control are turned off, and any change is refused with “View only: ask an owner for edit access.”
- Transfer ownership: ⋯ next to a member → Make Owner and Transfer…. Choose your own access afterwards: Editor, Viewer or no access.
- Leave a project: ⋯ next to your own name → Leave Project…. The last owner cannot leave; transfer ownership first.
- Organization: owners choose under Organization which of their organizations the project belongs to. The organization's settings then apply to the project; for example, its administrators can turn AI off. Belonging to an organization gives its members no access to the project.
Tips
- A project you cannot open looks the same as one that does not exist. Ask an owner to invite you.
- Roles apply per project. Being an owner of one project gives no access to another.
- Site administrators can transfer ownership of any project, for example when its owner leaves. They see a project's name, members and size, but not its content.
