Administering Holarch

Site administrators manage accounts, projects and organizations, invite people, and review storage, AI use and the audit log. Everything is listed page by page, so the lists stay fast however many there are.

Where to find it

  • The account button (your initials) at the right of the top bar → Admin, or ⌘K → Admin. The page has the tabs Users, Projects, Organizations, Usage, Audit and Invitations. Click a row to see its details in the inspector.

Main actions

  • Password check: before the first change, Holarch asks for your password. The check lasts 10 minutes. Every change is recorded in the audit log.
  • Users: search by name or email and filter by status, administrator and verified email; sort by creation, last sign-in, storage or projects. In the details: Rename…, Make Site Admin… or Remove Site Admin…, Disable… or Enable, Sign Out Everywhere, Send Password Reset, Resend Verification and View Projects. Administrators never see or set passwords.
  • Disable: ends every session of the person and blocks sign-in with “This account is disabled. Contact the administrator.” Projects and data stay. Enable lets them sign in again.
  • Delete a user: Delete User… asks what happens to each project the person owns alone: transfer it to another account, or send it to the Trash. Type the email address to confirm. The person is signed out at once; the account is deleted for good after 30 days and can be restored until then (it comes back disabled).
  • Delete permanently now: for erasure requests and abuse, Delete Permanently Now… under Danger zone (Purge Now… for an account in its 30-day period) deletes the account at once. Choose for each project the person owns alone: transfer it, or delete it for good; their projects in the Trash are deleted too. For each organization they administer alone, name a new administrator. Their sessions, memberships, pending invitations, AI keys and clipart library are removed. This cannot be undone. What remains: backups until they expire within 30 days, the audit log (with the person's id and name), and AI usage records without a link to the person. The email address can be invited again.
  • Projects: filter by person (owner or any role), organization, status (active or in the Trash), size and last activity, and search by name or id. Open a person's projects with View Projects in their details. Actions: Transfer Ownership…, Restore from Trash and Delete Permanently… (type the project id). You see names, members and sizes, never the content; to open a project, an owner has to share it with you.
  • Organizations: New Organization… for a class or a team, with an existing account as its administrator. In the details: turn AI on or off, add members by email (people without an account get an invitation), change roles, remove members and revoke invitations.
  • Usage: file storage against the server limit, project data, accounts, projects and AI tokens this month, with the people who use the most storage and AI. The Server version tile shows the running release, its build and the database migration level; the page header shows the release too.
  • Audit: sign-ins, account and sharing changes, administration and system events, newest first. Filter by person, kind of action and dates.
  • Invitations: invite people to create an account (the link is valid 7 days), invite another site administrator, and revoke pending invitations.

Tips

  • Holarch always keeps one active site admin: you cannot remove the last one or disable or delete them.
  • Change your own account on the Account page.
